Job Duties / Responsibilities (specific to the department, location or position)
• Answer telephones, greet visitors at entrance
• Responsible for managing general correspondence - receiving and distributing driver paperwork and general mail including invoices and other correspondence
• Enter and maintain employee training records including DOT safety compliance
• Advise management of safety compliance issues
• Schedule and arrange monthly safety meetings for transport drivers and mechanics
• Manage periodic audit scheduling and participate in information gathering, filing and arrange for annual fire drill as required at terminal locations including notification of local fire department(s)
• Review bills of lading and input into CSI road for 3rd party billing
• Insure that Sharepoint Bills of Lading are balanced to CSI
• Input waiting time and demurrage for accessorial billing for 3rd parties and send same information to sales offices for Targa customers
• Input and review time sheets for payroll processing for terminal technicians and drivers.
• Receive, review and verify all fuel purchases using Right Express (WEX).
• Procure all supplies for the office and also order and distribute personal protective equipment for all drivers in accordance with Targa policy
• Complete and manage new hire paperwork for all drivers and act as liaison to Human Resources and Centralized dispatch in corporate office to facilitate
• Review International Fuel Tax (IFTA) documents for accuracy as prepared by 3rd party and submit to taxation for processing
• Other projects as directed by the Transport Manager

Minimum Essential Qualifications (include physical requirements)
• High Scholl diploma or GED required
• 3 years experience working as an administrator with demonstrated proficiency in accounts payable/receivables and office management
• Able to work on a computer with proficiency on Microsoft office products and other programs as required
• Willing to work in a fast paced environment with pre-set accounting deadlines for payroll and bill processing
• Willing to work occasional overtime as required
• Self-motivated and able to work unsupervised

Preferred Qualifications (used as a tool to prioritize candidates that meet minimum qualifications)
• Prior experience working with transport group as an administrator
• Previous experience with CSI Roads or equivalent truck management software
• Previous experience with Right Angle or equivalent accounting software
• Familiarity with DOT rules and regulations for Hours of Service for Transport drivers
