Advance Global Recruitment Ltd are currently seeking an experienced Office Manager to ensure the effective running of our clients Measurement's office including handling reception, dealing with procurement, providing HR and finance support.

 

Office Management Duties:

•       Carrying out office reception duties, both in person and on the phone, including switchboard cover and greeting visitors.

•       Managing office administration, including all office related procedures, forms   

•       Setting up efficient filing systems.

•       Organising, storing, retrieving and distributing paperwork, documents and computer-based information.

•       Dealing with supplies including IT, kitchen supplies, stationery and phone equipment.

•       Drafting and maintaining internal procedures as required.

•       Negotiating office contracts and assistance with sourcing the most cost-effective suppliers.

•       Maintaining office systems.

•       Dealing with upkeep of company vehicles including MOTs and services.

•       Arranging hospitality.

•       Managing health and safety as well as fire regulations within the office.

•       Managing travel and accommodation arrangements for personnel.

•       Delivering administrative support to senior management as required.

•       Adhering to company policies and procedures

 

HR Duties:

•       Coordinating all HR related activities within the business.

•       Coordinating and advising on company recruitment strategies.

•       Processing new hire paperwork and completing HR inductions.

•       Assisting senior management with the development of HR policies.

•       Monitoring and maintaining employee absence data.

•       Notifying payroll of changes to employee information.

•       Processing company benefit and pension notifications to external provider.

•       Acting as focal point for any employee queries, including but not limited to benefits claims, absenteeism and policies.

•       Coordinating disciplinary and grievance procedures.

 

Finance Duties:

•       Maintaining purchase ledger on Sage Line 50, reconciling to PO register

•       Completing payment runs

•       Carrying out bank reconciliations

•       Handling employee expenses

•       Producing sales invoices, maintaining purchase ledger in Sage and carrying out credit control
