Performs administrative duties for designated managers or department. Maintains appropriate confidentiality and represents work group or organization with professional demeanor.

ESSENTIAL DUTIES AND RESPONSIBILITIES include the following. Other duties may be assigned:

Provides administrative support including telephone coverage, copying, scanning, mail delivery and pickup daily, sorting mail, orders and maintains supplies for company, and necessary communications internally and externally.
Expectation: Support is prompt, accurate, and efficient.

Types correspondence such as word processing or typing of letters, memos, emails, faxes, forms, policies, and procedures. Assists accounting with full support such as data entry, scanning, faxing, making labels, phone calls, daily mail as needed.
Expectation: Documents and correspondence are timely, accurate, and complete.

Maintains secure files to protect confidential information.
Expectation: Information shared only as appropriate. Files are secure at all times.

Works independently and within a team on special and nonrecurring and ongoing projects.
Expectation: Projects are completed in an efficient and timely manner.

Acts as a project manager for special projects, which may include planning and coordinating multiple presentations, disseminating information, and organizing company wide events.
Expectation: Special projects are conducted in a timely, accurate, and effective manner.

Assists manager or staff in the management of their schedules and handle calls for these executives from both internal and external sources.
Expectation: Assistance provided is efficient, timely, accurate, and complete.

Maintains phone number log for employees.
Expectation: Phone log is handled in a clear, accurate and efficient manner.

Clean office, empties trash each Friday.
Expectation: Assistance provided is efficient, timely, accurate, and complete.

High school diploma or general education degree (GED); or five years related experience and/or training; or equivalent combination of education and experience.

Must have knowledge of a variety of computer software applications in word processing, spreadsheets, database and presentation software.

Must be able to work in a fast-paced environment with demonstrated ability to juggle multiple competing tasks and demands at occasional high stress level.

Must have high level of interpersonal skills to handle sensitive and confidential situations. Position continually requires demonstrated poise, tact, and diplomacy.


Ability to read, analyze, and interpret general business periodicals, professional journals, technical procedures, or governmental regulations. Ability to write reports, business correspondence, and procedure manuals. Ability to effectively present information and respond to questions from groups of managers, clients, customers, and the general public.


Ability to calculate figures and amounts such as discounts, interest, commissions, proportions, percentages, area, circumference, and volume. Ability to apply concepts of basic algebra and geometry. Quickbooks experience a plus.


Ability to solve practical problems and deal with a variety of concrete variable in situations where only limited standardization exists. Ability to interpret a variety of instructions furnished in written, oral, diagram, or schedule form.


Maintains a valid Drivers License. Maintains Notary License or has the ability to be bonded for Notary License.
