Overview / Responsibilities

Wood has an opportunity for a Project Administrator to join our team in Qatar on a long-term basis providing a comprehensive secretarial and administrative service to our clients. This role requires extensive interface with multi-location project execution teams. The selected candidate will be expected to work in a multidiscipline, multicultural team environment where the overall success of the project is paramount.

Responsibilities

 

  • Providing general admin support to the management team
  • Screening and fielding telephone calls
  • Liaising with client regarding queries
  • Organise and replenish stationery and office supplies
  • Arranging worldwide travel, flights, accommodation, transfers sometimes with complicated itineraries
  • New starters admin, induction and organisation of equipment as well as admin related to leavers
  • Formatting documents
  • Assist with expenses collation and approval
  • Meeting room bookings and hospitality
  • Stationery ordering
  • Review and update of department data including minute taking
  • Various department admin duties including holiday charts
  • Organise courier services as required
  • Assist with proposals coordination and submission

 


Skills / Qualifications

Qualifications

 

 

  • Minimum of 5 years of relevant experience
  • Fully conversant with Microsoft Excel, PowerPoint, Word
  • Good numeracy skills
  • Manipulation of spreadsheets
  • Team Player
  • Good TEAMS knowledge.
  • Consistent and accurate delivery
  • Experience of working in a fast-paced environment
  • Knowledge of Arabic language is desirable but not essential


Applicants are required to:

 

 

  • Be available for work in Doha, Qatar from June 2023
  • Have demonstrable experience of working independently / remotely from technical leadership personnel (although functional leadership will be within the Doha office).
  • Have demonstrable experience of working within a small project office, supporting cross discipline activities beyond their core discipline
