Overview / Responsibilities

Wood has a collaborative maintenance contract with Seqwater to deliver leading maintenance services in the water industry. These projects cover South East Queensland across multiple locations, assisting Seqwater to provide water for more than 3 million people.

We are currently recruiting for a Project Support Officer on a temporary full-time basis to join the South West Pipeline team . The preferred candidate will have; a strong work ethic, function well as part of a team and have a robust level of experience and relevant education or training in administration and personal assistant skills.

At this time, we will only consider applications from Australian citizens or those with the required permit/VISA for this region, in place.

Key responsibilities

 

  • Maintain an efficient and well-organised office for the Project Manager and Team, in an environment where confidentiality, responsiveness and proficiency are essential by ensuring that policies and office procedures are adhered to effectively and efficiently
  • Provide a high standard of clerical and administrative support for the South West Pipeline team by undertaking the following:
    • Preparing draft and final copies of community reports, presentations, meeting agendas, meeting minutes and other documents as required
    • Preparing draft and final copies of communications reports, presentations, meeting agendas, meeting minutes and other documents as required
    • Providing financial administrative support to the Project Manager including management of invoices, processing corporate card expenses, tracking and reconciliation of budgets and preparation of regular and ad-hoc reports
    • Assessing incoming correspondence and communications (often of a highly confidential nature) and determining appropriate action
    • Organising conferences, workshops and official functions. This includes preparing itineraries, arranging travel and compiling documentation and providing administrative support at the event
    • Coordinating the preparation and distribution of agendas and minutes for team meetings and other meetings and following up on actions as required
    • Coordination and management of project assurance and governance documentation and input to monthly reporting
    • Assist with document records management and integration with enterprise records management system (REX) for the project team
  • Follow existing processes and work closely with Project Officer to manage workload.
  • Provide general secretarial and support services for the Major Projects team. This will include:
    • Utilising initiative and judgement to attend to matters during the Project Manager's absence, as authorised, to ensure the smooth running of the team
    • Observe and comply with all Seqwater work health and safety, quality and environmental management systems and procedures
    • Undertake other duties, which are assigned from time to time by the Project Manager and Project Officer
    • In all duties, comply with the behavioural expectations set out in The way we work (Seqwater's Code of Conduct), and our policies and procedures.

 


Skills / Qualifications

  • Relevant qualifications in administration and support. A suitable combination of strong experience and relevant education or training in administration and personal assistant skills
  • High level interpersonal skills which reflect the ability to interact effectively with all levels of staff, and the ability to work as an effective team member
  • Sound written communication skills, including demonstrated experience in ensuring that reports and other correspondence are of a high standard and consistent with corporate standards
  • Ability to prioritise workloads and meet deadlines, and to establish work priorities that reflect the urgency or strategic importance of tasks
  • Ability to perform in a changing environment and maintain an up-to-date skills and knowledge base
  • Advanced Microsoft skills, including Word, Excel, PowerPoint, Teams, SharePoint and or HPE Content Manager will be highly regarded
  • Construction industry white card (or ability to gain one within 6 weeks of starting)
  • Previous experience on construction projects highly desirable
  • Demonstrated experience in providing efficient secretarial and administrative support services
  • Demonstrated experience in establishing high levels of trust, integrity and responsibility in supporting the work of managers .
