Overview / Responsibilities

Wood is currently recruiting for a Senior Document Controller with extensive experience in the oil and gas industry. Capable of managing a large or complex project. May serve in a Lead capacity to handle various workflows of technical data for the life of a project. A completely competent document controller with comprehensive knowledge and extensive experience in all conventional aspects of document management as it relates to company projects. Independently plans, schedules and performs broadly defined clerical and document management assignments. Assignments may require judgment, independent evaluation, and adaptation to meeting project requirements / needs. May be required to coordinate and review the work of less experienced Document Controllers. Local candidates only and no referral bonus is offered for this position.

  • Coordinates setup of project EDMS in accordance with document control requirements
  • Liaise with the project team to understand work plans and associated service requirements from Document Control
  • Prepares and maintains project specific procedures, instructions and forms
  • Responsible for the supervision and execution of Document Management activities within the project environment
  • Receive, process, monitor and expedite internal and external distribution of project documentation files consisting of technical data, engineering and supplier drawings, technical specifications, purchase orders and other project related documents
  • Update and maintain project document control electronic document management system and project related databases
  • Prepare transmittals and distribute data as directed
  • Internal quality check of documents and ensure metadata is complete and accurate
  • Liaise with contractors, suppliers and internal personnel, to ensure that documentation complies with Client procedures, metadata requirements, and transfer
  • Maintain and manage the document distribution matrix for all documentation
  • Distribute drawings, correspondence and other documents in accordance with the document distribution matrix
  • Provide training and assistance to project personnel on the use of the EDMS
  • Responsible for compilation, production and delivery of project information data
  • Responsible for handover, project closeout and archiving


Skills / Qualifications

  • Seven (7+) years experience in an engineering and/or construction office with direct knowledge of processing vendor and engineering documents
  • Excellent communication skill. Speaks and writes clearly and informatively; listens and gets clarification when necessary
  • Exhibits sound judgment and demonstrates an exceptional work ethic
  • Pursues development opportunities and strives to continuously build knowledge and skills
  • Displays willingness to make decisions. Supports and explains reasoning for decisions
  • In depth knowledge on utilizing Electronic Document Management Systems
  • Conceptualizes the life span of a large to complex project and grasp basic technical language
  • Manages project deadlines and other pressing time issues
  • Assists with coordination and prioritization of work for less skilled project Document Controllers to insure consistency of training, work processes and enforcement of Document Control procedures
  • Perform quality control checks to insure compliant documentation according to non-technical procedural processes and seek assistance if questionable
  • Experience with document processing principles and practices
