The Project Administrative Assistant is responsible for providing normal clerical services for the project team. Duties include:
- Set up and maintain the project filing system
- Coordinate administrative services for the project
- Assign numbers and maintain logs for project correspondence
- Administrate and update the project distribution list
- Develop and coordinate all correspondence within the project team
- Prepare the project file records for storage
- Schedule conference rooms for meetings
- Schedule flights and reservations
- Prepare quality dossier
Skills / Qualifications
- Recent grauduate from a administration / engineering bachelors degree or equivalent related
- Preferably up to 1 year project management or administrative support experience working in a fast-paced, multitasking
- environment
- Proficiency in Microsoft Project, Word, Outlook and Excel required
- Organized self-starter, detail oriented, proactive individual who takes ownership of a project
- Excellent verbal, written and interpersonal communications skills in both english and spanish
- Demonstrated ability to work in team situations with multiple priorities
- Ability to handle confidential and sensitive information in an appropriate manner
- Ability to operate basic office equipment
- Able to lift 30 lbs. without painful stress or injury
- Able to sit for long periods of time without painful stress or injury
- Previous experience working at an engineering, construction or architectural firm a plus
- Must be able to work 8:00-18:00 Monday - Friday
