Wood currently has an exciting opportunity for a Project Administrator in Trail, BC.
Our Wood Trail office services multiple industries including Mining, Power, and Infrastructure, performing consulting and EPCM services, executing world-class projects on five continents.
Reporting to the Operations Director, this position is located in our Trail, BC office. The role has overall responsibility for providing and coordinating administration functions in numerous areas, including General Administration, Safety Coordination, Project Administration, and assistance directly for the office Operations Director. Key Responsibilities
- Providing administrative assistance to the Project Managers, Project Leads as well as all team members, as required.
- Contributing and maintaining Project Management Plans (PMP), updating Procedures, Instructions and Forms (PIFs) within the Wood Management System.
- Assisting with updating processes, procedures, standards, etc. as required by the project.
- Maintaining consistency in project documentation for format and content, including editing and proofreading documents.
- Providing assistance with the setup of new projects.
- Maintaining project files and internal and external reporting requirements.
- Preparing, and handling all administrative tasks including, but not limited to, filing, photocopying, faxing, coordinating travel, preparing expense statements, coordinating team events, arranging couriers, and archiving of files.
- Scheduling and attending meetings, recording and generating minutes of meetings.
- Performing word processing tasks such as letters, memos, faxes, minutes of meetings, specifications, reports, and manuals, etc. in accordance with company standards or as specified by projects.
- Preparing spreadsheet(s) and maintaining databases and logs, as required by the project.
- Coordinating, printing, and issuing of non-technical documents
- Administrating and maintaining SharePoint, Project Workspaces, Project Webs, Project Drives, and hard copy file systems as required
- Initiating and maintaining SharePoint Workflows (PCS, Projects, Studies & Reports, Archiving, etc.) as required.
- Coordinating project related matters between internal and external stakeholders.
- Maintaining knowledge of the status of the project as well as specific schedule requirements.
- Vacation coverage for Project Administrators as required.
- Support construction manager in completing site document control and contract administration duties as required.
- Provide coordination for office safety training and maintain safety supplies and safety room.
- Other related duties as may be required.
Skills / Qualifications
- Minimum 5 years' experience in an administrative role
- Advanced computer and word processing skills using MS Office applications including SharePoint.
- Excellent interpersonal, written, and verbal communication skills.
- Ability to coordinate several high-priority deadlines simultaneously.
- Ability to demonstrate flexibility when dealing with changing priorities.
- Excellent organizational and prioritizing skills with the ability to multitask and work under the pressure of constant deadlines.
- Exhibit an extremely high level of professionalism and superior attention to details.
- Exceptional client relations and customer service skills.
- Able to demonstrate sense of initiative and ownership.
- Aptitude to exercise foresight as well as good business judgment to anticipate and solve problems with minimal oversight.
- Energetic, self-motivated and quick to learn with a focus on continuous improvement.
- Ability to work in a team or independently in a multi-disciplinary team environment.
- General familiarity with construction document control and contract administration processes, procedures, and requirements.
