POSITION: HR Coordinator REPORTS TO: Vice President, Human Resources DEPARTMENT: Human Resources I. SUMMARY OF POSITION This position carries out tasks in support of Human Resource processes and functions. This position is responsible for providing HR generalist support in the area of recruiting, staffing, benefits administration, performance management and employee relations. The position also provides customer service assistance to employees and outside visitors who require company/employment information. This position involves high-volume duties that are work intensive, time consuming, and highly confidential.
II. REPRESENTATIVE RESPONSIBILITIES Assist in the implementation of established recruitment processes and procedures to effectively recruit qualified candidatesPrepares all job vacancies and postings, pre-screen candidates, create interview schedules, guides, and coordinate on-site interviews for on-island and off-island candidatesCoordinate all pre-employment and onboarding activities to include physical and background checks, travel, relocation, housing etc.Provide support for all generalist activities (e.g. applicant and candidate tracking and correspondence, recruitment files, salary actions, HRIS updates etc.)Assist with payroll processing and providing benefits and job description information to both new and existing employeesMaintain applicant tracking and LMS databasesAssist with audits of payroll, benefits or other HR programs and recommend corrective action.Schedule and conduct new employee orientationPrepare and maintain recruiting data for reporting purposesReview all leave of absence documentation and coordinate, process, and audit employee leave requests. Update all applicable tracking logs for reporting purposes and prepare communications for department management and payrollTrack employee performance reviews, development plans and performance improvement plansAssist with coordination, implementation and tracking of employee training plans and schedulesPrepare and distribute training materials to include instructional material, handouts, evaluation forms, and visual aids; set up audiovisual equipment and prepare presentations when necessaryAssist with logging, and tracking investigations reports, track lessons learned and generate reportsServe as a liaison between designated departments and other function areas within Human ResourcesAssists with HR related special projects and assignments as required III. AUTHORITIES Permission to view and enter confidential data into the HR databases.
IV. POSITION REQUIREMENTS - Bachelor's degree in HR, Business or related field required
- A minimum of 5 years of demonstrated administrative support capability, preferably in a Human Resources or a high-volume fast-paced administrative environment. Customer service experience preferred.
- Exposure to labor and employment laws and ability to interpret and communicate HR policies and procedures
- Demonstrated knowledge of Microsoft software products (MS Office, MS Word, MS PowerPoint, MS Access and Excel).
- Good math skills to add and subtract dates and to calculate periods of time. Ability to prepare complex spreadsheets.
- Proven ability to maintain the highest level of confidentiality.
- Ability to communicate both orally and in writing with internal and external clients.
- Ability to proactively work with minimal supervision.
- Excellent time management and organizational skills.
- Demonstrated skills in time management and multi-tasking
- Ability to work independently in an environment of rapidly changing priorities and assignments.
- Valid Driver's License and ability to obtain Transportation Worker Identification Credential card.
PHYSICAL REQUIREMENTS:- This position is generally in an office setting
- Ability to occasionally lift and/or move up to 25 pounds, climb stairs and ladders, push and pull items, reach overhead, stoop and squat
