Job Description
In this position you will be providing secretarial and administrative duties. The Office applies key computer and process skills with a detailed understanding of the organization's operation.
The Office Assistant assists the Executive Assistant with their day-to-day activities. Your profile should include skills like excellent communication, enjoying solving problems, and working well in teams.

Responsibilities Main tasks & responsibilities include:
- Assisting the Country Manager EUR West;
                     o Arranges travel schedules and reservations as required;
                     o Assists with expense reporting in Eclaims
- Assisting NL HR Manager and HR Team.
- Assisting the business with administrative tasks, travel and support.
- Assisting with preparation of tenders and afterwards process contracts.
- Maintaining the NL client list and keep update with main contacts/assistants
- Organizing local meetings (book conference room/send invitations/arrange lunch)
- Process invoices in SAP and create Purchase Orders
- Process incoming sponsor request like student groups, charity funds and SPE. Check with management if it can be granted. Create answer, process advertisement/logo requests.
- Main contact for general phone/mail inquiries/complaints and queries, sales calls, information requests, etc.
- Main contact for Regus services - mail distribution. Have bi-monthly meeting to check progress/discuss issues.
- Daily basis check mail for The Hague/ SLB unknown employees. Keep telephone list up to date of employees at Parkstraat office.
- Administer the Parkstraat entrance Key cards (PKI for colleagues/visitor cards for external visitors)
- Arrange stationary, incl. business cards with Multicopy. Implement/maintain contact with printing company for their online ordering tool used for different SLB locations.
- Implement and maintain procedures (f.i. ERP)/office admin systems (f.i. DHL online tool/QBT taxi booking tool).
- Process and implement RIR's for Parkstraat office-related matters.
