MAIN FUNCTIONS

The Information Management Lead (IML) is accountable for the planning and executing all aspects of Information Management (data and document management) within their assigned scope.  This role is characterized by:

  • Experience with Information Management and related supporting processes / procedures including but not limited to: EMCAPS, OIMS, RMG, MPI, and applicable Global Practices. 
  • Effective communication with Contractor, Project Team and Information Management team.
  • Collaboration with the project, contractor, and asset teams to ensure requirements for overall Information Management processes are understood and adhered to.
  • Work ethic to drive tasks to completion and meet project deadlines even where it requires them to do work typically executed by the Document Control Lead, Document Controller, Data or Design Systems Analysts.
  • Partnership with Information Management Advisor to continuously test the quality of Information Management implementation within their scope, solve difficult problems and commit to continuous improvement of delivery.
TASKS AND RESPONSIBILITIES

Responsibilities of an Information Management Lead may include but are not limited to the following:

  • Assure Project Information is timely controlled, accessible, and current at all project locations.
  • Ensure compliance with the Information Management sections of Project Plans, Contract Coordination Procedures, and Purchase Orders through external audits of Contractors and Sub-Contractor teams. Ensure resolution of issues raised.
  • Provide oversight and support for the Document Control Lead, Document Controller, Data or Design Systems Analysts. Perform these roles either prior to mobilization or where positions are not planned.
  • Customize and deliver required training for Project Teams and Contractors to ensure understanding of requirements and use of tools.
  • Conduct project Information Management workshops with the Project Team and Contractor.
  • Ensure that the IM requirements are included in the design / execution contracts through the contract-specific IM Scope of Work and Information Specification. Contribute to the Prequalification and ITT packages and to the evaluation of bids.
  • Ensure that the IM requirements are implemented by Contractors and that the compliance is tested regularly.
  • Manage collection and validation of data from Contractors and/or internal project stakeholder into appropriate data repositories.
  • Ensure Project Reference Data Library is aligned to the Corporate RDL and governance processes are followed.
  • Maintain the Project (RDL) within the document and data management systems.
  • Manage all document and data flow within project and between Contractors or Suppliers in the Company Document and Data Management Systems.
  • Interface with Project Management to ensure project requirements are met including overall strategy, staffing plan and resources to support the plan (e.g. roles and responsibilities, activities, training, related specifications and procedures, check lists, databases, central files, user guides, etc.).
  • Steward periodic reports describing status and issues for overall Information Management delivery on the project.
  • Actively participate in project meetings and anticipate Information Management needs. Facilitate delivery of the project information asset to the operating/manufacturing organization.
  • Accountable for the development of all scope required deliverables are developed for use (e.g., Information Management Plan, scope-specific contractual language, project management documents, required specifications and supportive procedures and processes).
  • Establish Master Document Register (MDR) and Document Distribution Matrix (DDM) requirements, ensuring implementation.
  • Project forms, documents templates, registers, training, and applicable tools including but not limited to document and data management systems.
  • Accountable for the maintenance of systems and tools which sustain information flow between project team and contractor/suppliers (e.g., EDMS).  Including but not limited to granting access and escalation of issues.
