Overview / Responsibilities

Wood is currently recruiting for an Administrative Assistant with experience in the offshore or onshore oil and gas industry.

Please note this position is only open to Equatorial Guinea nationals.

The Administrative Assistant is responsible for day-to-day support of the office activities in general. Providing financial, general administrative and facilities office support to all departments on an as required basis. Workload and priorities will be coordinated by senior staff.

Principal Responsibilities:

• Travel support and maintain POB and accommodation schedules and requirements.
• Assist in preparation and submittal of required travel documentation and EG document requirements.
• Liaise with Chevron MDOS admin for the allocation of onshore accommodation.
• Maintain physical in and out processing procedures to include travel requests, airport reception and departure and POB input, in line with HES, security and HR requirements.
• Assist the Hexagon admin staff for the visa and EG Document (LOI, Resident Permits, Work Permits, driver's licenses, etc.) requests process and integrate it into the in/out processing.
• Assist Administration in the supervision of local service and supply contracts.
• Execute time keeping and expense report process for project personnel
• Accompany senior staff to various meetings to provide adhoc translation support
• Manage and updating the receipt/issuing of invoices cost control spreadsheet in accordance with the AP team.
• Support & assist PM / CM as required on a day-to-day basis.
• Preparation of correspondence and reports as required.
• Prepare unofficial translation services - Spanish-English / English-Spanish
• Assist in negotiating fees for building and hotels.
• Support on coordination of Admin activities and special events.
• Ensuring that new employees have appropriate equipment on their arrival day.
• Preparing reports, analyses data and making recommendations to improve the management of facilities
• Directing and supervising reception activities.
• Assist MDOS admin to organize and update accommodations requirements.
• Back up on activities related to covering other Admin positions vacations.
• Required to provide own transport to and from work

Skills / Qualifications

Minimum Qualifications:

• Valid EG Driver License (Minimum Class B2)

• A minimum of High School diploma and secretarial and/or administration studies, or equivalent on-the-job experience is required for this position (Advanced education is desirable)
• Technical school graduate such as ITNHGE a plus

Experience and knowledge:

• Team player and able to work effectively alone and occasionally under stressful conditions.

• Some office experience with at least medium size company including data management experience

PC Application Skills:

• Proficiency in Windows, MS - Word, Excel, Access, Power Point, and e-mail.
• SAP basic knowledge a plus

Personal Attributes:

• Excellent written and verbal English & Spanish skills.

• Ability to work in a multi-cultural environment alongside other technical disciplines
