The Administrative Assistant has responsibility for providing general office/plant support with a variety of clerical activities and related tasks, including but not limited to, preparing routine correspondence, answering phones, mail distribution, flow of correspondence, ordering supplies, processing invoices, coordinating travel arrangements, etc. Entry level roles will require direction and supervision, and more senior level roles may require some specific skills and judgement.
Roles & Responsibilities
SAFETY, SECURITY & COMPLIANCE
•Maintains the highest standards of corporate governance, ensuring that all activities are carried out ethically and in compliance with Company policies and procedures, relevant laws, regulations, standards and industry practices
•Responsible with being familiar with the Company's Security, Compliance & HSE policies and takes an active role in the compliance and improvement of Weatherfords Management System
•Responsible for being familar with the Company's Quality policies and takes an active role in the compliance and improvement of Weatherfords Management System
•Maintains service quality as immediate priorities when working across all areas of the business
•Manages and resolves issues related to time & attendance system
•Manages vendor of on-site Canteen
•Coordinates Company provided transportation for plant employees
•Coordinating Security and House keeping activities
•Liaison between vendor and employees on medical insurance claims (GMC & GPA), including providing required documents to vendor and ensuring employees respond to necessary queries timely
•Submits and files any statutory compliance reports related to local labor law
•Assists with onboarding activities & tasks for new hires
•Coordinates travel arrangements for visitors and employees
•Coordinates plant events/tours
•Schedules appointments/meetings, provides information to callers, prepares correspondence, distributes mail, and performs other various administrative duties as assigned by supervisor within the physical constraints of the job
•Maintains effective communications with all key stakeholders both internal and where appropriate external
•All employees have an accountability to the organisation to be financially responsible whether they are in charge of a function budget or simply their own expenses
•Costs incurred should be within approved budget and processed within agreed time frames and following the relevant financial policy and procedure
PEOPLE & DEVELOPMENT
•Employees have a responsibility for developing their own careers within the Company including completing all necessary function training to enhance their skills and experience
•Employees must complete all assigned Compliance & Company Standards training
•Employees should engage on a regular basis with their line manager to discuss their personal performance, objectives and opportunities to enhance their skills and experience to support their career potential
Experience & Education
•Minimum two years experience in administrative role
•Experience working in oil & gas industry
•Experience working in a manufacturing environment
Knowledge, Skills & Abilities
•Physical ability to immediately respond to emergency situations
•Ability to work with a diverse group of individuals
•Proficient in Microsoft Office products, specifically in Excel, Word, PowerPoint, and Outlook
•Exceptional written and verbal communication skills, including ability to communicate with all levels of personnel
•Fluent in English and Gujurati
•Excellent organizational skills
•Experience working in Human Resources field with knowledge of local medical/benefit plans
