Position Summary

The Administrative CoW Coordinator provides various analytical, data entry, secretarial and administrative duties for the TAR Control of Work Authority and TAR Operations department. This job description is intended to provide an overview of the position and does not include all the tasks that might be required to provide support for your area job requirements.

Essential Functions / Key Accountabilities

  • Coordinate Blind IT application needs for all users to include training of company and contractor personnel.
    • Trained to be SME for Blind-It and point of contact for issue resolution.
    • Preprint isolation and blind it tags for application.
  • Gain and maintain training for Control of Work and Isolations policies and procedures.
  • Enter and track purchase orders in the Maximo system.
  • Maintain and update the department SharePoint site content, CoW and TAR.
  • Document Control (Documentum) Work with document owners to ensure timely updates are made.
  • Record Retention.  Assist with development, tracking and retention of complete/ongoing TAR Permitting and Isolation documents.
  • Enter TAR Near Misses into the IRIS Tracking System for Contractors during event.
  • Assist with special projects within the department at CoW authority's direction.
  • Assist with set up of Isolation Conex for TAR Ops.
  • Assist with oversight of TAR Permit Coordinators and needs of locations before, during and after the event.
  • Assist with TAR Training needs for Control of Work, Isolations and Blind IT training.
  • Work with Human Resources and TAR group to provide a smooth on-boarding and exiting of department employees.
  • Duties include word processing, spreadsheet, preparing, and coordinating calendar meetings
  • Coordinates set up of new additions to the TAR CoW team as needed with laptops and other related equipment, setting up NTID information via the help desk, as well as termination of computer use
  • Verifies contractor employees and accepts or declines access to company information on line. This position operates and maintains copiers, fax machines and other office equipment. 
  • Update and maintain electronic files as well as paper documentation for department, including self-verifications.
  • Orders department supplies as required including stocking of routinely used consumables
  • Provides administrative support for department
  • Establishes monthly safety tour meetings for building.
Education

Required: High School diploma

Preferred: Associate Degree

Experience

Required: Three years administrative experience

Preferred: Refinery experience

  • Expert computer skills; Microsoft Office application knowledge required
  • Must have analytical ability, willingness to learn and have a bias for action and able to take initiative
