Wood Environment & Infrastructure Solutions is currently seeking a Administrative Assistant/Technology Specialist to join our team in our Wichita, KS office. Ideal candidates will have an associates or higher degree in business administration, computer applications, or equivalent, around 2+ years' experience, or any equivalent education and experience. We are looking for someone who is genuinely excited and enthusiastic about supporting office administrative functions but yet desires to learn and push technical limits/ finding new solutions for our engineering (technology) related projects and clients.

Key Responsibilities
  • Will greet visitors and answer a phone line
  • Routine and extensive contact with employees, clients, subcontractors and vendors
  • Will order/purchase supplies, equipment, vending and marketing merchandise
  • Billing reconciliation of purchasing statements and invoices
  • Will schedule conference room meetings, order lunches, and facilitate activities
  • Coordinate office facilities maintenance tasks including contacting/ascertaining contractors and communicating with building management/maintenance
  • Support proposal and report efforts including adding graphics, reviewing for grammatical and spelling errors and report production
  • Other duties to include mail, shipping, copying, report collating, binding and filing
  • Research and resolve routine administrative and staff functional support issues as they arise
  • Will support business and project functions through highly technical Microsoft application capabilities including Word, Excel, PowerPoint, Power Automate, Power Bi, and data entry in databases
  • Support Geographic Information Systems (GIS) functions using ESRI ArcMap or ArcGIS Pro. Development of cartographic maps, database development and administration and performing geospatial analytics

Skills / Qualifications

  • 2+ years' experience in an office environment
  • Excellent phone answering skills and friendly customer service skills
  • Professional demeanor with co-workers, visitors, clients and vendors
  • Excellent verbal, written and interpersonal communications skills
  • Self starter with excellent organizational skills and attention to detail
  • Demonstrated ability to work in team situations with multiple priority management
  • Detail oriented, proactive individual who takes ownership of their work
  • Proficiency in Microsoft Applications
    • Word, Excel, Outlook, PowerPoint required
    • Power Automate, Power Bi, Access and others a plus
  • Proficiency in graphic design (Photoshop & etc) experience a plus
  • Proficiency in GIS applications such as QGIS, ESRI ArcGIS (ArcMap or Pro), Manifold, or others a plus
  • Familiarity with programming languages (Python / Visual Basic / C+) is a plus
  • Previous experience working at an engineering, construction or architectural firm a plus
  • Must pass drug test, physical, background check and must have a satisfactory driving record in accordance with the Company's driving (MVR) policy
