SUMMARY: Provides administrative support to the OKC Survey and Zoning office. Under the direct supervision of the Sr. Account Manager, this position provides administrative support for the Survey and Zoning Department. In addition to answering phones, checking the info email box, setting up projects and sites, typing, filing, scheduling, performs duties such as coordination of meetings, working on special projects.
ESSENTIAL DUTIES AND RESPONSIBILITIES:
- Provides administrative support to the Sr. Account Manager and the Survey and Zoning Department.
- Establishes, develops, maintains and updates filing system for the Survey and Zoning department. Retrieves information from files when needed.
- Retrieves files submitted by Project Coordinators, Clients, Consultants, using the ftp site and saves them to the internal computer system, logs into Vision and nTel.
- Organizes and prioritizes large volumes of information and calls.
- Types and designs general correspondences, memos, charts, tables, graphs, business plans, etc. Proofreads copy for spelling, grammar, and layout, making appropriate changes. Responsible for accuracy and clarity of final copy.
- Tracks monthly department budget against actual expenditures.
- Follows all documented policies, Standard Operating Procedures, and Work Instructions applicable to the position and in support of BV's quality standards.
- Maintains safe and clean work area by complying with all procedures, rules, and regulations.
- Provides administrative support to the Sr. Account Manager by attending meetings and presenting data when appropriate.
- Protects operations by keeping information and plans confidential.
This job has no supervisory responsibilities.

Education and/or Experience:
1-3 years administrative experience with experience supporting executive management preferred; demonstrated ability to enhance executive effectiveness through proactive administrative support; working knowledge of Word, intermediate knowledge of Excel including intermediate reporting skills.
Excellent verbal and written communications skills; detail-oriented; highly developed problem-solving and organizational skills; ability to perform multiple tasks in a fast-paced environment; technical background preferred; ability to work independently and to perform in a team setting.
