Responsibilities:

  • Managing and maintaining schedules, appointments and travel arrangements (Book flight tickets, arrange for accommodations and reserve car rentals) and arranging accommodations and logistics for visitors
  • Filing and retrieving documents and reference materials
  • Preparing correspondence, communications, reports, documents and presentations
  • Arranging and coordinating meetings and events
  • Recording, transcribing and distributing minutes of meetings
  • Receiving and interacting with incoming visitors
  • Perform secretarial duties such as typing correspondence, answering phone calls, photocopying, mailing, faxing, filing, and monitoring, responding to and distributing incoming communications
  • Assisting department with proper expense reporting procedures
  • Maintaining department vacation requests for internal reconciliation and use
  • Assisting with booking and preparing video conference rooms
  • Assist department with proper use of conference room reservation system
  • Assist department with proper requests for IT/logistic needs


Qualifications:

  • Must be legally authorized to work in the US for any US employer
  • A minimum of a high school diploma or equivalent
  • 5+ years of experience providing administrative support
  • Proficient computer skills and in-depth knowledge of relevant software such as MS Office Suite
  • Knowledge of standard office administrative practices and procedures
  • The ability to maintain confidentiality
  • High degree of organizational and planning skills
  • Excellent written and communication skills
  • Information gathering and information monitoring skills
  • Judgment and decision-making ability
  • Initiative and flexibility
  • Attention to detail and accuracy
  • Good telephone etiquette
  • Excellent customer relations and people skills
  • Bilingual English/Spanish is preferred
