Title: Admin Assistant 

Location: Downtown, Houston

Responsibilities:
  • Plan and attend CFO Leadership Team meetings, take notes, assign actions and facilitate follow-up on those actions. Demonstrate the ability to understand at a high level what is being discussed and decided, with a base understanding of finance and business concepts
  • Prepare presentations and analysis of data and concepts via Excel and PowerPoint
  • Responsible for answering phone calls, reviewing incoming correspondence, mail, organizing and preparing confidential pre-read and correspondence for executive meetings
  • Coordinate travel for executive flights, hotels, rental cars, car transport, visas, passport, etc.
  • Manage the CFO's calendar and schedule recurring meetings and other meetings as necessary
  • Collaboration with other Administrative Assistant in Finance to provide support to the department
  • Collaboration with other Administrative assistants in scheduling of quarterly meetings
  • Schedule meetings and conference rooms as necessary
  • Perform other miscellaneous job-related duties and tasks, i.e., arrange catering for meetings, and clean up afterwards
  • Interface professionally with all levels in the organization
  • Assist with on-boarding of new team members
  • Validate Credit Card Expenses and complete monthly expense reports
  • Utmost confidentiality in dealing with Most Confidential data
  • Upkeep of filing and Records Management


Basic Qualifications:
  • Minimum five (5) years experience as a professional assistant, with experience supporting executive levels preferred
  • Bachelor's Degree in Finance, Accounting or related field or equivalent experience in financial analysis or accounting
  • Highly proficient in Outlook, Word, PowerPoint, and Excel
  • Proven excellent communication, grammar, and proofreading skills both oral and written
  • Demonstrated strong attention to detail when working through complex tasks. Must be highly organized
  • Superior interpersonal skills a must
