This position reports to the Operations Manager and provides administrative support to the Operations Manager, Operations Superintendent and Operations Advisors. This includes reviewing Operations Manager's e-mail, maintaining manager's calendar, coordinating meetings and special events, arranging domestic travel, composing correspondence, and following up on action items. This position performs assignments with a high level of independence, initiative, discretion, accuracy, and attention to details. As this position also provides administrative support to the Operations Superintendent and Operation Advisors, flexibility in adapting to assignment changes and work schedule is mandatory. Confidentiality in this position is crucial. Advanced proficiency in computer skills is required.

Responsibilities for this position may include but are not limited to:

  • Handle all Operations Manager's, Operation Superintendent and Operations Advisors administrative assistant responsibilities.
  • Manages Operations Manager's calendar in Outlook. Schedules and coordinates logistics for meetings and special events.
  • Reviews and screens manager's e-mail and incoming correspondence, prioritizing items that need immediate attention and assigning action items as appropriate. Composes replies as needed with proper handling of sensitive and classified materials.
  • Coordinates domestic travel logistics. Prepares detailed itineraries. Provides background information on meetings and trips. Assist in tracing and gathering related expenses and compiles expense reports and maintains appropriate documentation.
  • Maintains effective communications with operations leadership team.
  • Ensures requests to the Operations Manager are handled promptly. Ensures action items and deadlines are met for various operation related deliverables.
  • Reviews and screens telephone inquiries and takes initiative to handle calls as appropriate.
  • Handles special projects as requested.
  • Manage logistics of the organization including maintaining accurate organization charts, seating plans, distribution lists, etc
  • Serve as the Group steward to the Identity and Access Management Center of Excellence ensuring email distribution lists are up-to-date and provide security access for shared drives/SharePoint sites. Conduct bi-annual audits to ensure compliance.
  • Effectively represents Operations to a broad array of contacts within SJV and CNAEP. Works well with all levels of the organization and administrative assistants. Maintains effective networks throughout SJV and CNAEP.


Preferred Qualifications:

  • Minimum of 5 years secretarial and administrative experience in providing support to a leadership team.
  • Must be able to handle all activities with high confidentiality and high level of initiative and independence.
  • Demonstrated ability to take initiative, prioritize and meet deadlines. Ability to multi-tasks, anticipate needs and requirements, and follow through
  • Demonstrated strong interpersonal skills. Ability to work cooperatively with all levels of management and peers and can readily adapt to the needs of diverse work groups while remaining calm under pressure.
  • Ability to effectively communicate (written and verbal) at all levels of the organization in order to convey ideas.
  • Strong organizational skills and attention to details are crucial.
  • Must possess high knowledge level of various MS office applications in addition to MS Teams, SharePoint, OneNote, Workplace, CTREX, P-Card reconciliation, IAM Portal and -WebEx/video-conferencing
  • Good knowledge of operations structure and departments within SJV


Selection Criteria

  • Administrative Skills - Prior administrative experience providing support to a Manager and Leadership Team highly desired. Proficient in managing calendar and development of correspondence. Ability to use discretion and judgment in handling a high level of confidentiality and sensitive business information. Demonstrated ability to be proactive in handling matters before it arises and adapt to changing needs when priorities shift. Ability to work both independently and collaboratively in team environment.
  • Organizational Skills - Strong organizational skills and attention to detail. Proven ability to manage time effectively and multi-task with limited supervision.
  • Communication Skills - Must have strong written and oral communication skills. Demonstrated strong interpersonal skills. Ability to work cooperatively with and at all levels and adapt readily to the needs of diverse work group
  • Technical Skills - High knowledge level of various MS office applications (Outlook, Excel, PowerPoint and Word) and other administrative processes including but not limited to: MS Teams, SharePoint, One Note, Workplace, CTREX, P-Card reconciliation, IAM Portal and WebEx/video-conferencing.
