Role Summary:

Baker Hughes currently has an opportunity for a Tender Coordinator, to join our team in Bristol.

Essential Responsibilities:

Being a key member of the Commercial Operations team generating weekly, monthly and ad hoc reports for management and the wider business.

Liaise with senior members of the business to ensure the tender schedule and meetings are called in accordance with the business process.

Collate and prepare management reports

Assist in securing new business for Subsea Systems, compilation of complex EPC Proposal documents, developed from ITT receipt through to bid submission. Management of post tender clarifications and the subsequent flow of information.

Prepare and ensure first class proposal documents through document storage on SharePoint and document output with Xaitporter.

Work with external graphic companies to complete finishing touches, folders and dividers to ensure presentation of bid to the highest calibre.

Manage and facilitate the tender team to ensure deliverables are provided in a timely and correct manner and follow ITT requirements.

Review ITT and create 'Bid Submission Register'. Use this matrix to clearly identify due dates and owners, manage this process to ensure all documents are reviewed understood and where appropriate identify missing documents internally and to client.

Facilitate, set up, manage and mentor tender team with the functions of SharePoint and Xaitporter.

Schedule and record tender kick off / weekly review meetings

Assist the Tender Manager to set expectations and requirements throughout bidding process and post bid clarification requirements.

Review and challenge if necessary the ITT tender responses to ensure the Customer's specific questions have been answered well.

Ensure any hard copy bid is dispatched to ensure Tender is received on time

Qualifications/Requirements:

• Ideally a bachelor's degree or HNC/D (or equivalent), or equivalent work experience.

• Extremely organized self-starter, able to prioritise and manage multiple activities at any given time.

Organized, structured and capable of working to tight deadlines

Excellent internal and external communication ability

Ability to influence a team to ensure deadlines are achieved

Strong IT skills with Microsoft Office proficient products (Word, Excel, PowerPoint), Preferable to have experience and competence with the use of:

SmartSheets

Salesforce or other similar Customer Relationship Management tools

File Sharing tools such as Sharepoint / Box

Proposal Writing tools such as Xaitporter

Willingness to travel to and work from either the Company's Nailsea or Aztec West Facilities as required
