Duties:
The Lead Document Controller main tasks lie within:

1. System
2. Coordination/Support

4. AMS

1. System:
This company uses the global Business Management System (BMS) tool as a repository for our local management system (LMS).
The "Country Lead":
* Represents in discussions with the custodian of the BMS-tool/User Council
* Executes/organizes User Acceptance Tests for changes
* Interfaces between the user community in the company and the custodian for improvements, changes, defects.
The BMS coordinator's role is to:
* Liaise closely with the Country Lead

2. Coordination/Support:
The global BMS-system is structured to reflect the Enterprise Process Model (EPM) as well as the Discipline Control and Assurance Framework (DCAF).
The BMS coordinator's role is to:
* Coordinate between the process owners and discipline leads to maintain alignment between content, purpose and users.
* Offer/continuously improve a vision on the structure to make content accessible, findable and retrievable.
* Support BCD custodians with updating the documents and manage them in the BMS-tool
* Update the authority lists in BMS-tool with changes in the organization/position.

3. Information:
The BMS coordinator's role is to:
* Regularly update Process Owners and Discipline Leads on the status of Business Control Documents, under their responsibility (not overdue, overdue within x months, overdue)
* Update management on the general status of the BMS-content on a monthly basis.
* Inform the user community on: outages, changes of the BMS-tool, etc.
* Organize information to assure that the user community is informed about changes in content of BCD's in BMS.

4. AMS:
AMS has been integrated in EPM as "processes".
The BMS coordinator's role is to:
* Support the AMS SPO/SPFP community by providing information and understanding on the BMS / LMS structure.
* Develop the vision on the document types specifically for AMS, including responsibilities.
* Support the Tullos team in the integration of AMS in the existing structures
* Coordinate the screening and clean-up of the legacy management system in the transition to AMS processes, where AMS will replace the legacy processes in due course.
* Support the AMS implementation lead.
Main tasks of BMS/LMS Coordinator:
* Liaising with AMS Implementation lead
* Liaising with SPOs & SPFPs
* Liaising with facility team members
* Liaising with BMS focal points
* Identification & tagging of AMS documents
* Quality & compliance checks on AMS documents
* Filing and organisation of AMS documents
* Control over AMS documentation modification & distribution
* Maintenance of register of AMS documents
* Distribution of AMS documents to relevant people
* Progress reporting on AMS related documents status / maintaining KPIs
