POSITION SUMMARY:
The Plant Administrator is responsible for daily administration functions, including but not limited to, answering telephones, greeting visitors, and distributing mail. This person is also responsible for general correspondence, filing, reporting, and preparation/matching of invoices.

JOB FUNCTIONS AND KEY RESPONSIBILITIES:

  • Answer telephones, greet visitors at lobby entrance, communicate with plant personnel via radio

  • Responsible for general correspondence - reporting, general filing, scheduling meeting rooms, etc.

  • Payroll â€" entering payroll, time sheets reconciliation, vacation, sick leave, overtime records, reporting variances

  • Enter and maintain employee training records

  • Maintain company and contractor safety files, maintain site safety files

  • Procurement â€" Purchasing supplies, maintain inventories, accounts payable, work in PeopleSoft ePro for materials and service procurement (work with crafts, individuals and vendors) maintain office, cleaning and kitchen supplies, conduct and assist procurement and delivery of company luncheons

  • Assist with Targa functions including banquets and other company functions

  • Assisting employees with issues within Targa’s structure

  • Preparing correspondence and parcels to send by USPS, FED-EX, UPS - distribute mail

  • Act as liaison between Houston Office and field office coordinating payroll, accounting, HR functions

  • Work on ad hoc special projects and tasks assigned

  • Run occasional outside errands for Targa.

  • Coordinate, order, and delivery lunches as deemed necessary.

  • Possibility of backing up Maximo system

  • This position will utilize PC programs for the generation of correspondence, reports charts, statistics, flow sheets, and production data collection for report purposes.

  • Maximo is the backbone to maintenance and dissemination of required or scheduled work orders. With the amount of new activity in the complex, maintaining MAXIMO with the proper input of new equipment, developing job plans for PM activities, and creating those into OEM preventative maintenance schedules is a large and time consuming task.

  • Utilizing an Administrator to perform data entry in Maximo provides consistency and standardization, which allows the system to be queried for report utilization.

  • When reviewing MAXIMO reports there is a gap between completing the task and closing the work order, this is best resolved with administrative help closing work orders and using the actual time, labor and material costs to allow real time work costs.

  • Develop target group reports in Crystal Reports for specific maintenance groups and activities.

  • Administrative work is heavy and the maintenance groups are better served with an administrator that can handle these activities in an accurate and timely manner, rather than utilize our SME Mechanics to handle administrative work.

  • Must be able to scan documents into Documentum and utilize the record keeping function to maintain manuals, bids, scope of work, pictures, flow sheets, etc.

  • Develop and maintain Crystal Reports for facility wide reports.

  • With the amount of materials going through the warehouse and vendors, the administrator will enter purchase orders for the warehouse, (assist the warehouseman) Rotating Maintenance, Technical Maintenance, I/E, and .

  • Receive purchase orders into the system to maintain real time budget data.

  • Responsible to help reconcile â€?problem” invoices from the Match

  • Must be comfortable dealing with vendors and billing errors.

  • Assist with generating work schedules for shutdown activities

  • Assist with preparing work permit packages and maintain contractor head count during shutdowns.

  • Develop spread sheets, number and maintain P&IDs records, maintain quote files, file documents, etc.

  • Assist with documentation using electronic file systems and maintain electronic MOC development for future reference and audits within the facility.





MINIMUM ESSENTIAL QUALIFICATIONS:

  • Maintain a valid driver license

  • High school diploma or equivalent

  • Interpersonal communication skills are required in order to interface with all affected teams, personnel, and vendors; able to work in a self-directed work team.

  • Must be proficient in the use of all Microsoft Office software modules, including Word, Excel,

  • Must work with a minimum of supervision and be able to manage their time when given multiple tasks.


PREFERRED QUALIFICATIONS:

  • Maintain a valid driver license

  • High school diploma or equivalent

  • Interpersonal communication skills are required in order to interface with all affected teams, personnel, and vendors; able to work in a self-directed work team.

  • Must be proficient in the use of all Microsoft Office software modules, including Word, Excel, PowerPoint and others

  • Must work with a minimum of supervision and be able to manage their time when given multiple tasks.


PHYSICAL DEMANDS:
  • Ability to lift, push, and pull at least a minimum of 50lbs.
  • Ability to work in changing climate conditions.
  • Able to work in close quarters: i.e., work while kneeling, squatting, sitting, climbing, and standing.
