Role Summary:

BHGE Digital is looking for an executive assistant to support our Vice President, Digital in San Ramon, CA. Reporting directly to the Vice President, the Executive Assistant will serve as the primary point of contact for internal and external constituencies on all matters related to the VP. The Executive Assistant's main duties include scheduling meetings, making travel arrangements and organizing daily calendars. To be successful in this role, you should be proactive, meet deadlines and communicate effectively.

Essential Responsibilities:

In this role Executive Assistant, you will:
  • Assist the VP with daily administrative duties and completes a broad variety of administrative tasks that include managing an active calendar of appointments; completing expense reports; composing and preparing correspondence; arranging complex and detailed travel plans, itineraries and agendas and compiling documents for meetings
  • Communicate with the general staff on the VP's behalf and coordinates logistics with high-level meetings both internally and externally. Coordinates meetings and strategic activities with the management team
  • Review, assess, route, answer and monitor follow up action items on correspondence
  • Conduct research on topics pertinent to the VPs role and assembles materials required at the request of the VP
  • Welcome guests and customers by greeting them, in person or on the telephone; answering or directing inquiries
  • Maintain office supplies inventory by checking stock to determine inventory level; anticipating needed supplies; evaluating new office products; placing and expediting orders for supplies; verifying receipt of supplies.
  • Ensure operation of equipment by completing preventive maintenance requirements; following manufacturer's instructions; troubleshooting malfunctions; calling for repairs; maintaining equipment inventories; evaluating new equipment and techniques

  • Associate's Degree from an accredited university or college (OR High School Diploma / GED from an accredited school or university with minimum 5 years of experience in supporting upper-level management)
  • Minimum 3 years of experience in supporting upper-level management

Eligibility Requirements:
  • Travel 10% of the time, as required
  • Handle business sensitive and confidential information
  • Work overtime, weekends and holidays, as required
  • Consistently meet daily, weekly and monthly deadlines

Desired Characteristics:
  • Bachelor's Degree from an accredited university
  • Proficiency in PowerPoint, Word, Excel and Outlook
  • Ability to quickly identify and prioritize issues, create solutions in compliance with rules and regulations and meet deadlines
  • Strong organizational skills with high attention to detail
  • Strong verbal and written communication skills
  • Excellent interpersonal skills
  • Ability to operate with discretion regarding all confidential matters related to inside or sensitive information
