We are recruiting for a Facilities Coordinator to coordinate the overall building and plant maintenance programmes for Hydrasun sites in Aberdeen along with overseeing the security arrangements for the buildings.

Essential Qualifications, Experience and Competencies

  • Previous experience in a Facilities and/or Property Management role
  • Experience of operating planned and preventative maintenance programmes for plant and equipment
  • Previous experience of working under ISO quality/safety/environmental management systems
  • Ability to communicate effectively with all levels of personnel, both verbally and in writing
  • Good level of basic DIY skills
  • Competent in the use of MS Office packages (Word, Outlook, Excel)
  • Ability to prioritise and organise workload in order to meet strict deadlines
  • Educated to standard grade level with passes in English and Maths subjects
  • Ability to work on own initiative
  • A flexible, adaptable and "can do" approach to work
  • Excellent HSE and environmental awareness
  • Customer and Quality Focus

Duties will include but will not be limited to:

Building Maintenance and Security

  • Develop and coordinate a programme of Planned Preventative Maintenance for the headquarters site
  • Liaise with contractors to ensure that the maintenance programme is actioned in accordance with requirements
  • Monitor all maintenance requests ensuring all items are logged and are closed out in a timely manner
  • Carry out basic repairs and maintenance tasks around the site
  • Ensure the security of the building by liaising with IT ensuring CCTV cameras are operational and focused on required areas.
  • Monitor and coordinate out of hours security arrangements for the Company, including acting as a main focal point for the security contractor and alarm system
  • Control and regularly update the key holder list for the Company
  • Coordinate a programme of ground maintenance for car park, surrounds and landscaped areas
  • Coordinate a suitable programme of winter maintenance including snow clearing and gritting of car park and yard areas to ensure the safety of personnel operating in these areas

Equipment Maintenance

  • Coordinate a programme of planned maintenance for all plant and equipment on site ensuring relevant work is carried out by competent and suitable contractors in accordance with requirements
  • Ensure all Electric and Gas regulatory inspections are completed
  • Ensure that all HVAC systems are regularly maintained
  • Ensure that the Local Extract Ventilation systems are regularly maintained and that monthly readings are recorded

Health & Safety

  • Coordinate appropriate water safety checks including Legionella testing
  • Monitor and react appropriately to any pest control issues
  • Ensure compliance with all statutory regulations and recording of all such certification (PAT, LOLER, COSHH, PUWER etc)
  • Carry out Area Safety Inspections according to agreed rota
  • Ensure that Emergency Lighting and Lightning Protection checks are carried out on a regular basis and records maintained.

Cleaning

  • Oversee and coordinate the cleaning contract for the Aberdeen premises
  • Conduct reviews of the cleaning services and be actively involved in monthly audit of services by cleaning contractor
  • Develop and coordinate a system to report faults/failures in the agreed cleaning contract and report these back to the cleaning contractor in a timely manner
  • Arrange and coordinate a service for regular cleaning of windows, internal and external, within the Aberdeen site
  • Arrange and coordinate a service for disposal of all female sanitary products within the Aberdeen site
  • Arrange and coordinate a laundry service for all entrance dust mats used within the Aberdeen site
  • Arrange and coordinate a laundry service for all tea towels used within the Aberdeen site
  • Develop and implement a purchasing programme for the ongoing supplies of soap and paper products including hand towels and toilet paper

Catering

  • Oversee and coordinate the main catering service contracts including canteen, vending, water cooler and water boiler equipment

Finance

  • Responsible for managing departmental costs in line with agreed budgets and to identify relevant areas of facilities for potential costs savings.
