Roles & Responsibilities
Attend to visitors and manage inquiries on the phone and face to face. Provide general administrative and clerical support. 

  • Greet and welcome guests as soon as they arrive at the office
  • Answer, screen and forward incoming phone calls
  • Ensure reception and conference room areas are tidy and presentable
  • Provide basic and accurate information in-person and via phone/email
  • Receive, sort and distribute daily mail/deliveries
  • Maintain office security by following safety procedures and controlling access via the reception desk (monitor logbook, issue visitor badges)
  • Restock and maintain organized kitchen area
  • Organize catering for meetings when needed
  • Manage shipping and basic logistics (FedEx, USPS, Courier, etc.)
  • Perform other clerical receptionist duties such as filing, photocopying, and faxing
  • Data Entry including accounting, travel details and general clerical duties
  • Attention to detail
  • Flexibility to work on multiple tasks without compromising results
  • Ability to be resourceful and proactive when issues arise

Minimum Requirements

  • High School Degree
  • Proven work experience as a Receptionist, Front Office Representative or similar role
  • Proficiency in Microsoft Office Suite
  • Hands-on experience with office equipment (e.g. fax machines and printers)
  • Professional attitude and appearance
  • Solid written and verbal communication skills
  • Excellent organizational skills
  • Multitasking and time-management skills, with the ability to prioritize tasks
  • Be a team-player and be able to work on own initiative in a dynamic and challenging environment
  • Maintain integrity and confidentiality

Desired Qualifications

  • Entry-Level Accounting Experience
  • Previous travel coordination experience
  • Ability to remain calm in a crisis
