Chevron Philippines Inc. (CPI) markets the Caltex® brand, which is Chevron's customer facing brand in Asia Pacific and parts of the Middle East and Africa. Chevron Philippines operates a network of about 665 Caltex service stations/retail outlets across the Philippines. Chevron also provides for the fuel and lubricants needs of the commercial and industrial sectors. Fuel products such as Caltex with Techron® and Caltex Diesel with Techron D as well as lubricants such as Havoline® and Delo® are also available at all Caltex service stations.

Chevron is accepting online applications for the position of Operations Administrator located in Makati City, Philippines through March 18, 2019 at 11:59 PM.

Responsibilities for this position may include but are not limited to:

Inventory Management

Perform daily Stock Reconciliation of physical against book inventory. This includes reconciliation of meter log reconciliati0on against SAP sales. Highlight variances and ensure investigation conducted .Submit Daily Bulk Stock Movement Report to Supervisor for review and Terminal Manager for approval. Reconcile daily lifting from supply sales customers. Submit monthly customs documentation and reports including stock returns, duty and subsidy.

Haulage Payment

Act as fleet auditor for Evaluated Receipt Settlement (ERS). Run and review BI -Bulk Freight to ensure all shipment are with values and is complete for payment. Where there is zero value in the report, report the incomplete transaction to PAD and MSSC. Follow up on next step with PAD/MSSC.

Ensure timely submission of the haulage billing on manual claims ie Guarantee Volume Charge(GVC),Diversions, fuel surcharge and overnight charge. Update the tracking template on bills received from hauler. Compute the haulage accrual and reversal.

Delivery Operations

Provide SAP delivery due list of customers orders received from the customer service center and pass to hauler Scheduler to prepare delivery schedule. Coordinate with hauler scheduler to optimized resources for dispatch of fuel products. Generate Delivery Note, performed shipment planning, goods receipt and generating invoices for schedule orders to Retail, C&I and own collections customers. Allocate tank truck security seal for each delivery note to Retail and C&I. Control the seals issuance, inventory control and replenishment of seals.

Organize the Delivery Note according to trip/delivery window as indicated in the delivery schedule. Hand over the DN to the drivers for loading operations.

Monitor the daily schedule to make sure all planned deliveries is executed timely. Coordinates and communicate with Hauler, CSC and RBC on fuels delivery related issues that may arise to ensure safety and reliability of the fleet operations.Take immediate action to mitigate failed delivery. Ensure delivery rules are met. Ensure all journey plan is updated in the SAP PC8 system and participate in Journey plan assessment as required.

Supervision and Compliance

Provide coaching and supervision to other Operation Administrators in supporting terminal operations and optimize the business. Provide administrative and analytical support to terminal Leadership by consolidating fleet and operations data, and OPEX spending. Maintain the staffs annual leave record in SAP -PCH. Ensure bulk stock, Delivery Notes and all related terminal documents are filed and kept in accordance to records retention policy. Review Daily Cash and Banking report, Bulk Stock Reconciliation Report, Daily Delivery Due List, Daily Cancellation report. Conduct SOX testing and ensure internal controls is adhered to by terminal staff.

Maintain compliance register required for the operations of the terminals. Ensure timely renewal of licenses and payment as required by Government Ministry and Local Town Council.

OE/HES activities including but not limited to participation in safety meeting, emergency response, fire drills and incident reporting / mitigation. Ensure vehicle reliability and availability for safe and Delivery In Full On Time.

System Support

Provide local support and the point of contact on issues relating SAP,Ariba and Fuel Fac. Coordinate and Interface with PAD, procurement and Fuel Fac Super user on system issues that cannot be resolved locally. Work closely with Finance and MSSC to meet month end reporting requirement and closing timeline.

Daily/Monthly Reporting

Provide daily and monthly reports on customs subsidy, additive usage and replenishment, scorecard. Provide daily actual lifting versus forecast volume for Retail, C&I and supplier customers to VCO for replenishment planning.

Compiles and updating Delivery matrix such as Customer Delivery Reliability (CDR) report, diversion, split loads on daily and monthly basis. Participate in SMI meetings.

Maintain filing system for back office support of all delivery transactions processed.

Job Requirements:

• Preferably with terminal dispatching and operations experience and background

• Accounting background is a preference but not a requirement

• Knowledgeable in Microsoft Office applications

• Good communication and collaboration skills

• Must have demonstrated ability and/or experience in working in a multi-cultural environment

• Flexible, proactive, results-oriented, and customer-focused
