Job Description

Assistant Materials Coordinator - Equatorial Guinea Nationals

This position is available only to candidates who meet applicable company and local government nationalisation/residency.

REPORTING:
Reports to the Senior Materials Coordinator

SUPERVISION:
None

PREREQUISITES / QUALIFICATIONS:
- High school diploma or equivalent. Rig-based work experience and demonstrated ability of oral and written communication may be substituted in lieu of formal education
- Valid medical examination and vaccination certificates
- Basic computer skills

DUTIES AND RESPONSIBILITIES:
Materials and Inventory Control:
- Secure the warehouse at all times and allow access only to authorized personnel - Authority I
- Receive materials into the warehouse stock and issue parts to departments as needed - Authority I
- Liaise with department heads in the preparation of materials requisitions for all parts and equipment; focus on planning to minimize urgent orders; forward approved requisitions to the shore base office - Authority II
- Maintain accurate records of received and outstanding requisitions and cargo manifests. Track the progress of Purchase Orders - Authority I
- Maintain adequate stock levels of equipment spares and consumables to facilitate the continuous operation of the unit - Authority II
- Prepare periodic reports for the Rig Manager and shore-based Materials Manager as required - Authority II
- Perform cyclical inventory of stock and maintain the physical inventory in the warehouse - Authority I
- Review regularly obsolete and surplus parts and advise Rig Supervisors for follow up - Authority II
- Use the computerized system to maintain an accurate inventory of all materials stored on the rig - Authority I
- Prepare manifest for all equipment dispatched from the rig either by sea or by air - Authority II
- Check for discrepancies in materials received against delivery notes and outward manifest. Issue Procurement Incident Report for incorrect items - Authority I
- Assist in the manifesting and control of third-party equipment as required - Authority II
- Assist department heads in establishing a realistic minimum/maximum warehouse stock of all shut-down or critical items - Authority II
- Provide Fixed Asset Register information to department heads - Authority II
- Ensure that all hazardous and non-hazardous wastes are correctly labeled and packaged prior to shipment ashore - Authority II

QHSE: -
- Incorporate the THINK planning process into all tasks, whether working alone or as part of a team - Authority I
- Participate daily in START Process - Authority I
- Call a Time Out for Safety (TOFS) whenever an unplanned hazard or a change in the expected results is observed - Authority I
- Ensure that subordinates understand and apply guidelines of the Company Quality & HSE Policy Statements and rig-specific procedures - Authority I
- Carry out assigned duties in a safe manner according to Company policies and procedures - Authority I
- Actively participate in the weekly meetings, FOCUS Improvement Process, and all other Company safety management systems - Authority I
- Report any incidents, potential hazards or abnormal situations to supervisor and other department heads - Authority I
- Respond to emergency situations as designated on station bill - Authority I
- Ensure that cleanliness and housekeeping of warehouse area is maintained at a suitable standard - Authority I

Personnel: -
- Meet the training requirements according to the applicable training matrix - Authority I
- Participate fully in the company's annual performance appraisal process - Authority I
- Mentor, develop and train crew members to ensure that they are competent to work at their next job level - Authority II
- Assist in training the Assistant Materials Coordinator and Materials Trainee - Authority II
- Promote and maintain an effective working relationship and communication with other departments, shore-based materials department, third-party personnel and Client representatives - Authority I
- Recommend promotion or disciplinary action up to and including discharge - Authority II
