Overview of Position:

This position reports to and provides administrative support to the President. It requires a high level of independence and also serves as an integral communications asset of the President.

The Executive Assistant must be somebody who is self-motivated, learns quickly, anticipates needs, works independently and has demonstrated the ability to multitask. The successful candidate needs strong interpersonal skills, a keen eye for attention to detail and the ability to maintain confidentiality.


Position Details:


Responsibilities for this position may include but are not limited to:

  • Handles all executive assistant responsibilities including managing the calendar in Outlook, coordinating logistics and agendas for meetings, conferences and special functions. Participates in team meetings and maintains action item lists.
  • Reviews and screens e-mail and incoming correspondence, prioritizing items that need immediate attention and assigning action items as appropriate. Compose replies as needed with proper handling of sensitive and confidential material.
  • Assists in management of final approval for Accounts Payable, coordinates timely collection of timesheets for employees/consultants and provides interface with Accounting Team for the President
  • Assists in the interviewing of personnel for the Company which includes resume review and scheduling candidate interviews
  • Coordinates domestic and international travel logistics and prepares detailed itineraries with background information on meetings and trips.
  • Compiles expense reports with appropriate documentation.
  • Maintains effective communications with the company leadership team and represents the President, to a broad array of internal and external contacts.
  • Provides support to the President by reviewing, screening and researching internet, telephone or other inquiries with follow up on pending items.
  • Other duties as assigned.

Required Qualifications:

  • Minimum of 10-20 years secretarial/administrative experience with increasing level of responsibility and demonstrated sustained strong performance.
  • Must be able to handle all activities with high level of initiative and independence while maintaining a high level of confidentiality.
  • Demonstrated ability to prioritize and meet deadlines. Ability to multi-task, anticipate needs and requirements and follow through. Strong organizational skills and attention to details are crucial.
  • Ability to effectively communicate (written and verbal) with all levels of employees to convey ideas.
  • Ability to problem solve and use good judgement in making sound decisions quickly.
  • Strong team player and interpersonal skills and strong skills with demonstrated ability to work well with all levels of employees. Must adapt to different work styles and remain calm under pressure.
  • Strong computer skills required with advanced proficiency in MS office applications. Outlook, Word, PowerPoint, and Excel

Preferred Qualifications:

  • Minimum of 5 years Executive Assistant experience providing direct support to executive-level management.
  • Minimum of 5 years of Oil and Gas E&P experience/knowledge, oilfield services and/or drilling contractor services preferred.
  • Familiar with coordinating all aspects of travel. Strong knowledge of international geographic locations.
  • Strong knowledge of company organization structure are highly desired.
  • Is flexible with work schedule.
  • Demonstrated strong current performance.
  • Minimum post High School education with college degree preferred
  • Working knowledge or fluency in other languages preferred (Spanish, Portuguese, French, Russian or Indonesian)
