Overview / Responsibilities

Amec Foster Wheeler Environment & Infrastructure is currently seeking an experienced Administrative Assistant to join our team in Oakland, CA. The ideal candidate will be a seasoned administrator who can multi-task effectively on a variety of responsibilities from simple to more complex. Must be highly organized, patient and personable, detail oriented, and flexible. Must be Capable of multi-tasking and completing work to a high standard, while meeting strict deadlines. Some basic experience in Human Resources administration is a plus.


Key Responsibilities

  • Provide personal and administrative support to project managers and members of the management team with reports, document control and tracking of monthly project data
  • Assist with HR coordination and daily HR needs
  • Assist accounting with creation of invoices
  • Assist Project Managers with putting together proposals and reports
  • Assist with various administrative and financial matters related to monthly accounting cycles
  • Accounting functions such as AP and prebills, and some project accounting review
  • Handle purchase / procurement of office supplies and equipment
  • General receptionist duties such as greeting visitors and answering phones
  • Contract administration
  • Maintain files and records (hard copy and electronic) for projects, invoices, correspondence, etc.
  • Research and resolve routine problems as they arise (example: opening and following up with IT support tickets)
  • Various administrative duties such as: arranging meetings; makes arrangements for food as requested, new employee orientation, escorting visitors to and from lobby
  • Prepare & process expense reports for Sr. Level employees
  • Clerical duties such as: word processing, preparation of correspondence and PowerPoint presentations
  • Receive and distribute mail; route documents internally
  • Other administrative duties as required

Skills / Qualifications

  • High School Diploma or equivalent
  • 5+ years related experience
  • Proficiency in Microsoft Word, Excel, PowerPoint and Outlook Express are essential
  • Excellent interpersonal & communication skills
  • Experience in handling multiple priorities effectively
  • Ability to exercise discretion and maintain confidentiality
  • Highly developed people skills
  • Strong commitment to internal and external customer service
  • Organization & prioritization skills
  • Attention to detail with focus on quality
  • Reliable and punctual
  • Good writing skills
  • Previous experience in financial analysis and accounting
  • Problem solving and solution oriented
  • Knowledge of Civil and / or Environmental Engineering field is very desirable
  • Ability to thrive in an environment of shifting priorities is essential
