Overview / Responsibilities

Amec Foster Wheeler Environment & Infrastructure is seeking a full-time, experienced Document Specialist to support our Phoenix office. The ideal candidate will have exceptional organizational and time management skills, and the ability to adapt as necessary to meet multiple time-sensitive deadlines. The chosen candidate will be responsible for intermediate to complex administrative support activities across multiple projects.


Key Responsibilities

  • Support project managers and team leaders as needed
  • Create and modify documents using Microsoft Office Suite and Adobe Acrobat Professional
  • Maintain hard copy and electronic filing systems
  • Review and coordinate project submittals according to project/process requirements
  • Assist with project submittals and agency/client deliveries
  • Assist Project Managers with tracking pertinent submittal timeline/status information
  • Successfully work with internal and external clients
  • Proactively develop improved processes
  • Balance and manage multiple tasks and priorities
  • Review own work for accuracy and work independently with minimal supervision
  • Perform general clerical duties including but not limited to: photocopying, report binding, faxing, mailing, shipping, filing, meeting coordination, ordering supplies and upkeep of production room and equipment

Skills / Qualifications


  • 1-3 years of experience
  • Strong proficiency in Microsoft Office product suite including Word, Excel, PowerPoint and Outlook
  • Knowledge of Microsoft Office templates and the use of styles in files
  • Strong verbal and written communication skills including a professional and friendly demeanor
  • Excellent typing and grammar skills
  • Regular and reliable attendance
  • Ability to have a flexible schedule and willing to adjust hours to meet client and business needs
  • Able to stand for extended periods and bend/stoop occasionally, lift or maneuver boxes with or without accommodation
  • Valid driver’s license
  • Must pass drug test, background check and must have a satisfactory driving record in accordance with the Company's driving (MVR) policy


  • Bachelor’s Degree
  • Previous administrative experience related to the engineering or construction industry
  • Previous experience with proofreading and/or editing written materials
  • Knowledge of, and/or proficiency in Adobe Acrobat/PDF manipulation and Microsoft Project
  • Relevant training a plus
