Job Description:

Responsibilities :

This role is part of a team that provides administrative support for technical and commercial staff with some guidance from the Team Lead.

 

  • SERP Time Writing and SAP TMS/expenses 1st line support
  • Staff on- and offboarding and all activities related to same
  • Assist with meeting logistics
  • Book complex trips and visas
  • Document management; Download and upload files in Livelink and Sharepoint
  • Prepare business documents using Shell templates
  • Filing activities
  • Work with events coordinator to arrange off-site workshops, conferences, meetings, events
  • Enter data in IQNavigator, as applicable
  • Coach technical staff with administrative tasks which do not fall under the Administrative Service Unit menu of activities. This includes use of the available self-help tools
  • Usage and administration of departmental credit cards for defined low value, low risk procurement
  • Create and update organograms
  • Assist with job postings
  • Assist with departmental HSSE administrative tasks
  • Assist Managers with calendar updates as needed
  • Department Move Coordinator - assist with move, serving as focal point for supporting department
  • Assist with special copying/scanning needs

Requirements :

  • High School Diploma
  • Must be able to legally work in the US
  • Proficient with standard Microsoft Office software (Office 2007 applications)
  • 5-10 years of Work Experience; experience in the Oil and Gas Industry is a plus
  • Experience with being the LEAD admin associate for one or more business teams, supporting managers and a number of business clients
  • Demonstration of leadership attributes: authenticity, performance (delivering results), collaboration, growth (proactive efforts to increase contributions to the business)
  • Experience with Livelink or Sharepoint
  • Good interpersonal skills and a strong customer service attitude
  • Attention to detail
  • Able to manage priorities and to work independently as appropriate
